Roles and screening

Roles

Create roles from a careers page, a job description or by hand; what a role holds; statuses and limits.

A role is the brief Scout works from: the job, what good looks like, and what rules someone out. Everything else, the interview guide, the outreach, the scorecards, hangs off it. Roles are unlimited on every plan.

Create a role

From your careers page

Send Scout the link. It crawls the page, pulls in each open posting with its full description, and creates a role per posting, up to ten per import.

Scout

Found 3 open roles and pulled in the full job description for each. Created:

• Account Executive - London, hybrid, £60-75k base

• Sales Development Representative - Remote (UK), £35-40k

• Customer Success Manager - London, £45-55k

Want me to draft the screening interview for the Account Executive role first?

From a job description

Paste the text, or attach the PDF or Word file, and say what you want: "create a role for this". Scout reads it and fills the role. On the dashboard, open a role and use Upload JD (PDF / DOCX) to fill every field from the file.

By hand

On the dashboard, open Roles and press New Role. The form asks for the position title and company. Open the role to fill in the rest.

What a role holds

FieldNotes

Salary rangeOptional. Scout never discusses pay with candidates in the interview.

Must-havesThe criteria that decide fit. Be specific: "sold to finance teams", not "experienced".
Hiring contactThe hiring manager who owns the role. Kept for your reference; candidates are not sent it.
Interview contactWho runs the first interview: name, email, phone and booking link. Candidates who pass on this role are sent this booking link. Leave it empty to use your default booking link.

Default interview guidePre-selected when you invite someone to interview

Edit a role

Tell Scout what to change: "make the AE role remote-friendly", "raise the salary range to 70-85k", "add HubSpot experience to the must-haves". Or open the role on the dashboard, edit, and press Save Changes.

Interview rounds

A role can have several rounds, for example an intro screen and a deeper second interview. Ask Scout to "add a second round to the AE role using the Enterprise AE template", or manage rounds on the role page.

Statuses

StatusMeaning
ActiveScout sources, screens and reports for it
FilledHired. Scout stops working on it; everything is kept
ArchivedSet aside. Reactivate any time

Change status in conversation ("mark the SDR role as filled") or from the Roles page with Mark as Filled, Archive and Reactivate.

There is no "paused" status for a role. To stop outreach for one role without closing it, pause outreach; see LinkedIn outreach.

Delete a role

"Delete the CSM role" posts a Confirm card, because deleting is permanent. On the dashboard, use Delete on the role. Candidates who were contacted for the role stay in your pipeline.

Suggested candidates

Open a role on the dashboard to see people already in your pipeline ranked against it, with Send interview and CV review actions. In Slack, ask "suggest candidates for the AE role".
